Bulk Import

The bulk import function allows you to easily enter new recipient data into the system without having to manually enter it one-by-one. A customized spreadsheet can be downloaded from your system and you can enter the data into the sheet. Your existing recipients and groups will appear in the sheet, and you can add, edit and delete both recipients and groups via this sheet before uploading it to the system.

 

To bulk upload recipients:

  1. Log into the Universal Alert and click the 'Recipients' tab.

  2. Click 'Bulk Import'

  3. Click 'Download Template'

  4. Open the template spreadsheet with a spreadsheet program, such as Excel

  5. DO NOT MAKE ANY EDITS TO THE FIRST COLUMN, LABELED 'ID'. It keeps track of existing users by an ID number. New users will be assigned ID's by the system when imported.

  6. Bulk enter you recipient data into the spreadsheet, including First Name, Last Name and Email.

  7. To add a phone numbers for recipients, add a column labeled "Phone". Input the 10 digit phone number for the recipient on their row. You can insert additional “Phone” columns for additional phone numbers. If some recipients have more phone numbers than other, just leave that subsequent cells blank for the users with fewer phone numbers

  8. Much like adding phone numbers, to add a group simply add a column and in the header row and name it "Group NAME" where NAME is the name of the group that you want. Groups you already have setup in the system will already appear in the spreadsheet.

  9. To add a recipient to a group, simply put an "x" in the column for their row.

  10. Once your sheet is complete, save it to your hard drive.

  11. Return to the 'Bulk Import' page and select 'Browse' to locate the file you just saved.

  12. Click 'Upload Recipients' and your data will be imported into the system.

 

Once the bulk import process is complete, you can verify its success by reviewing your recipients and groups.
